PURPOSE
To authorize the use of approved Matching Software products for the classroom/ students at Mount
Royal University.
To outline guiding principles for the usage of Matching Software.
This Policy does not address the already existing practice of using Search Engines to determine
whether plagiarism has occurred (e.g., Google, library Databases).
B.
SCOPE
This Policy and related procedures apply to all members of the University community using
Matching Software to assist with evaluation of student work.
C.
POLICY STATEMENT
1.1
PRINCIPLES
1.1
"Mount Royal University is committed to principles of academic integrity grounded
in the fundamental values of honesty, trust, fairness, respect and responsibility
with respect to all academic work" (Code of Student Conduct). As part of this
commitment, Mount Royal provides students, faculty and staff with information
about the meaning of academic integrity, suggestions as to how it can be fostered
across campus, and the possible consequences when contravened.
1.2
Mount Royal University's primary purpose in permitting the use of Matching
Software is for the common good of students and instructors by creating an
environment that is both fair and transparent.
1.3
The uses of Matching Software as a deterrent or detector of academic misconduct
are secondary to the primary educational purpose of this software (e.g., using
citations, paraphrasing appropriately).

1.4
Mount Royal University must take reasonable steps to ensure that confidentiality
of students is maintained in terms of the work they submit to the Databases and
that students maintain copyright on submitted works.
2.
POLICY
2.1
Mount Royal University authorizes the use of Matching Software for educational
purposes, including but not limited to, deterring or providing evidence of academic
misconduct.
2.2
Mount Royal University acknowledges that Matching Software, while it may
provide evidence of plagiarism, is not designed to prove plagiarism, the ultimate
determination for which remains the responsibility of the instructor.
2.3
Instructors using Matching Software must advise students in advance and in
writing.
2.4
Students shall have the right to opt out of using Matching Software and, after
discussion with the instructor; an alternative method for assessment of their work
will be determined by the instructor.
2.5
Instructors are responsible for informing themselves and their students about the
use of the software and about issues concerning academic integrity, intellectual
property, and privacy prior to use of Matching Software.
2.6
Wherever possible, students should have the opportunity to access Matching
Software.

DEFINITIONS

Database:
a structured set of data held in a computer

Matching Software: uses text, image or computer code recognition software to scan
submitted works for similarity to other material that may be
located on public websites, in library Databases, or in custom
Databases. Matching Software may be located on a local
computer or accessed via the network. Submitted work may be
archived, depending on the specific features of the software and
the options enabled.
