PROCEDURES
The Space Audit is completed on an annual basis, or as necessary. These audits are conducted
under the authorization of the President through the Space Planning Committee. The Space Audit
is the documentation of specific room Amenities, such as type of flooring and type of writable
surfaces, as well as the condition of Amenities for each room. This audit is done for a number of
reasons including that the University is required to report its allocation of Space to Alberta
Infrastructure, which has Government funding implications. The information collected from the
Space A
udit is also used to ensure that the condition of the University’s facilities are maintained at
an acceptable level and to assist in the booking of meeting rooms.
1.
INITIATING AND SCHEDULING THE SPACE AUDIT
1.1
Facilities Management is responsible for maintaining the University’s Space
Inventory and, as such, is required to conduct annual Space Audits to ensure all
information relating to the
University’s Space Inventory is accurate and up to date.
1.2
The annual Space Audit typically commences during the spring semester in order to
avoid peak student use time and follows a schedule created by the Space Auditor.
1.3
The Space Auditor will coordinate with Units to reasonably accommodate times and
schedules while conducting Space Audits.
1.4
The Associate Vice-President, Facilities Management, will communicate to the
University Leadership Group a minimum of one week (five business days) in
advance of commencing the Space Audit. The communication will provide an
overview of what will be expected during the audit, the official start date and where
the Space Audit Schedule can be viewed. It is the responsibility of each member of
the University Leadership Group to communicate with their team in advance of the
Space Audit.
2.
CONDUCTING THE SPACE AUDIT
2.1
The Space Auditor has the authority to enter all Spaces that are scheduled to be
audited. All Occupants must allow the Space Auditor entrance to those Spaces for
the purposes of completing a Space Audit, which may include photographing all
Amenities.

2.2
An area currently undergoing a Space Audit will be clearly identified through use of
appropriate signage provided by Facilities Management.
2.3
All areas are subject to undergo a Space Audit with the exception of those areas that
the Space Auditor determines may pose an immediate threat to their safety. Areas
that are excluded from undergoing Space Audits include those with construction
signs that indicate renovations.
2.4
The individual managing a Space that requires Personal Protection Equipment
(PPE) or that requires knowledge of supplemental safety regulations to enter, must
be consulted in advance of conducting the Space Audit.
2.5
Once the Space Audit has been conducted, any variances between the completed
Space Audit and the existing data will be reviewed by the Space Strategist, Facilities
Management, in consultation with the audited Unit before the Space Inventory is
updated.
2.6
The overall results of the annual Space Audit will be reported to the Space Planning
Committee and used for decision-making purposes by the Committee, various
administrative applications, as well any inter-institutional and system-wide statistical
reports.
2.7
The Space Planning Committee may require additional or revised Space and
occupancy data for reasons such as, but not limited to, larger Space reviews, or
Space allocations decisions.

DEFINITIONS

Amenity:
means
any
category
of
architectural
finishes,
furnishings, furniture or equipment that is considered
belonging to the room

Occupant:
means any person present within a room
(3)
Space:
means all indoor and outdoor Space under the control,
care, or custody of the University

Space Audit:
means an assessment of Space to ensure the
University’s Space Inventory is appropriately maintained
(4)
Space Auditor:
means a person who has been assigned to conduct a
Space Audit
(5)
Space Inventory:
means the centralized collection of Space information
related to the University’s facilities maintained by
Facilities Management
(6)
Unit:
means any centre, department, division, faculty,
program or school; as well as any administrative group
of the University
