PROCEDURES
1.
FINAL EXAMINATION REQUESTS
– EXAM REQUEST FORM
1.1
The Office of the Registrar will provide a list of all active courses for the given
semester to each department. Each department must provide the following
information:
a. Identify the courses that require a final exam, as well as any other assessments
(as per the Examination Policy) that will be completed during the final exam
period. A notation should be added to any courses that do not require a final
exam.
b. The delivery method of the exam: in-person or online. For online exams, indicate
either synchronous or asynchronous.
c. The length of each exam. Final examinations will be two or three hours in
duration without a break. Exceptions to the specified exam lengths must be
approved by the Dean.
d. Identify examinations common to two courses. If the same examination is to be
given in courses designated by different names or numbers (cross-listed
courses), such courses must be identified as needing to be scheduled together.
e. Courses with more than one section. If the same examination is to be given in
different sections of a course, these sections must be scheduled at the same
time unless the department requests an exception.
f.
Examination with location requirements. If an examination requires a specific
location (i.e. computer lab or science lab, etc.) the department must identify the
requirements.
g. Specific day and/or time requests. Identify any courses that require a specific
day and time and provide the reason for the request. Category 1 exceptions will
be accommodated. The Office of the Registrar will strive to accommodate
requests not related to category 1 exceptions as well.
h. Evening courses. Identify if there are exceptions to the scheduling of evening
course final exams, which will be scheduled during the final examination period
on the same night as the regular class.

2.1
Format - Examination papers should contain any special instructions for students
writing a final examination. If other materials or equipment are authorized by the
instructor, these must be noted on the examination paper.
2.2
Examination Supplies
– Examination question papers, answer booklets, special
supplies, and class rosters, if applicable, should be obtained by the instructor prior
to the examination period.
2.3
Retention of Student Information
– Answer booklets and/or examination papers must
be retained in the department according to the institutional record retention
schedule. This requirement also applies to the class record containing information
on attendance (as applicable), tests and assignments.
2.4
Rules - Examination Rules are printed in full on the official front cover of the
Examination Answer Booklets as supplied by Document Services. Students and
instructors shall be familiar with the rules prior to the examination.
3.
EXAMINATION ROOM
3.1
Students should only bring essential items into an examination room.
a. Should personal items be brought into the exam room, they should be left in the
front/back/side of the room as indicated by the instructor.
b. Neither the instructor nor the university is responsible for any lost items in the
examination room.
3.2
Students should not have in their possession during an examination any papers,
dictionaries, instruments, calculators, electronic devices, or any other materials
except as permitted by the instructor.
3.3
Students must turn off and store all communication devices such that they can not
be seen or accessed during the examination.
3.4
Students may not enter the examination room after the first 30 minutes of the exam.
Students arriving late will not be allowed any additional time.
3.5
Students may not leave the examination room during the first 30 minutes of the
exam.
3.6
Students may not leave the examination room during the last 15 minutes of the
scheduled exam time.
3.7
Normally, only one student shall be permitted to leave the examination room at one
time
a. For the purpose of exam procedures, a washroom is considered an extension of
the examination room (i.e. all examinations rules apply). Any other absences
from an examination room will require that the student turn in the examination
paper and answer booklet.
3.8
Students are not permitted to bring any food or drink into the exam room without
permission from the instructor.
3.9
At the scheduled end time for the examination, students shall be instructed to stop
writing immediately and turn their examination papers over and leave the room.
3.10
If an examination is interrupted by an emergency that requires evacuation, the
instructor should lead the students from the examination room and keep the students
together as much as possible. Students should be advised not to communicate with
each other regarding the examination. If the situation requires cancellation of the
examination, the Office of the Registrar will reschedule the exam at the earliest
practical date and time.
3.11
Instructors are responsible for invigilating their own final examinations. If this is not
possible, the instructor shall name a deputy, who must be another instructor, to
invigilate the examination, and shall advise the Chair of the replacement.
3.12
To check attendance and determine eligibility, instructors must verify the identity of
the students using the name and Mount Royal University identification number as
displayed
on the class roster in conjunction with the student’s MRU One card.
